Run the PHI-free history scanner from the Office Visits screen. It reviews aggregate lock indicators across prior dates and alerts you when the report is ready.
30-day scanBest for a quick routine review of recent work. In testing, it completed in about two minutes; timing varies with eligible dates and eCW response.
90-day scanUse for a broader lookback or when working from a different device. It follows the same safe process and may take longer.

- Open Office Visits. Confirm the schedule and displayed date are visible in the only eCW visit tab.
- Open the NotePace three-dot menu. Choose Scan last 30 days or Scan last 90 days.
- Leave the Office Visits tab open. NotePace uses the eCW calendar to check eligible dates, skips weekends and completed dates, and shows progress. Avoid navigating elsewhere until it finishes.
- Wait for the completion alert. NotePace returns to the date where the scan began and tells you the report is ready.
- Open Note Completion History. Review each date’s aggregate locked, unlocked, and unreadable counts.
- Resolve an unfinished date deliberately. Select Open Date, review that schedule, then manually choose the orange LOCK MM/DD NOTES button. Opening the date alone never starts locking.

Important: The 30- and 90-day scans only navigate, count lock indicators, and build the history report. They never select patient rows or run the lock sequence. Locking begins only when the clinician manually clicks the date-specific orange lock button.

Clinical content stays in the browser through NotePace.
Clinical workflows run locally on supported pages. NotePace does not transmit patient identifiers, diagnoses, note text, chart content, eCW credentials, browsing history, or technical diagnostics to the developer or external analytics services.

Date-specific note locking
Recognizes the active Office Visits date and displays an orange LOCK MM/DD NOTES button. Locking starts only after that manual click.
Lock-status verification
Reads visible closed- and open-lock indicators and reports aggregate locked, unlocked, and unreadable counts after scanning.
Note Completion History
Stores dates and aggregate counts, highlights unresolved dates, and can open a prior date for review without starting the lock sequence.
30- and 90-day scanner
Checks eligible prior dates, skips weekends and completed dates, records stable empty days, supports stop and resume, and restores the starting date. It never locks notes.

- The history scanner does not select patient rows, open the Lock Progress Note menu, acknowledge lock warnings, or start locking.
- Opening a date from history navigates and rescans only; the clinician must separately start a lock run.
- The orange lock button is disabled while history scanning is active.
- Calendar navigation requires confirmation of the requested date and a stable refreshed appointment grid.
- During a clinician-started lock run, NotePace acknowledges only two recognized eCW informational warnings: incomplete encounters that will be skipped, and incomplete Immunization/Therapeutic Injection documentation.

Installation
- Download and extract the frozen NotePace ZIP into a permanent folder.
- Open
chrome://extensionsin Google Chrome and enable Developer mode. - Disable or remove an older unpacked NotePace test build.
- Select Load unpacked and choose the folder containing
manifest.json. - Confirm Chrome displays version 0.5.4, then verify the panel on an approved demonstration or authorized eCW page before clinical use.
Developer mode not visible? Follow Google’s official instructions to open the Extensions page and enable the Developer mode toggle. If Chrome says it is managed or the toggle is unavailable, your organization may need to enable it.

Local-first clinical workflow: NotePace does not transmit patient names, medical record numbers, diagnoses, note text, chart content, eCW credentials, browsing history, or technical diagnostics to the developer or an external service.
Purpose and scope
NotePace is a clinician-guided workflow assistant for compatible authenticated eClinicalWorks and Sunoh/Healow pages. It identifies defined on-screen controls and activates them only within a supported workflow or a clinician-requested history scan.
Information processed locally
NotePace temporarily reads limited webpage structure, visible control labels, appointment dates and times, lock-status indicators, calendar controls, and a chart indicator used in memory to detect navigation. These elements are not retained as chart content and are not transmitted off the device.
Information stored locally
Chrome local storage is used for panel preferences and position, an estimated saved-actions counter, reminder dismissals, scanner progress, up to 100 PHI-free technical workflow diagnostic records, and up to 100 note-completion history records. History contains only the appointment date, aggregate locked/unlocked/unreadable/total counts, scan timing, and completion status. Diagnostics contain technical workflow fields—not patient identifiers, chart text, URLs, or credentials.
Optional cross-device synchronization
Optional sync is off by default. If explicitly enabled, it transmits only the username, device label, authentication data needed for the NotePace account, and up to 30 recent history records containing dates and aggregate counts. It does not transmit patient identifiers, chart content, diagnoses, note text, eCW credentials, browsing history, or technical diagnostics.
Collection, sharing, and sale
The developer does not sell, rent, or use NotePace data for advertising, profiling, or unrelated purposes. NotePace contains no advertising, external analytics, payment processing, or remotely hosted executable code.
Permissions
NotePace requests access only to supported eClinicalWorks and Healow addresses and the NotePace service, plus Chrome permissions needed for clinician-requested workflows, reminders, local settings, and optional sync.
Retention and deletion
Local information remains in the Chrome profile until replaced, cleared, or the extension is removed. Users can sign out of optional sync to return to local-only mode and may contact support regarding account-data deletion.
Security and changes
No system can guarantee absolute security. NotePace minimizes exposure with local clinical processing, narrow permissions, aggregate-only history, and clinician control. This policy may be updated when functions or data practices change.

Use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including Limited Use requirements.
Clinical and Product Disclaimer
NotePace is a workflow aid—not a medical device, diagnostic system, clinical decision-support system, or substitute for professional judgment.
- Only authorized healthcare professionals should use NotePace where they are permitted to access the EHR.
- The clinician remains responsible for reviewing the chart, verifying transferred or generated content, confirming diagnoses and follow-up, correcting errors, and completing and signing documentation.
- NotePace does not diagnose, recommend treatment, select a primary diagnosis, determine follow-up, or override clinical requirements.
- Recognized informational warnings may be acknowledged only during a clinician-started lock run; NotePace does not complete missing documentation or guarantee that eCW will lock every selected note.
- Browser, EHR, Sunoh, network, or interface changes may delay, interrupt, duplicate, or prevent an action. Verify completion after every workflow.
- Do not rely on NotePace during an emergency or as the sole mechanism for a time-sensitive clinical action.

Acceptance and permitted use
By installing or using NotePace, the user agrees to use it only as an authorized healthcare professional on supported systems and in compliance with organizational policies, software agreements, privacy and security requirements, professional duties, and applicable law.
Clinical responsibility
NotePace assists with interface actions. The user retains full responsibility for the medical record, clinical decisions, review, corrections, signing, locking, and verification of downstream completion.
Prohibited use
Users must not use NotePace to access records without authorization, bypass security or EHR controls, make automated clinical decisions, or send protected health information through support channels.
Third-party services and availability
NotePace depends on Chrome and compatible eClinicalWorks and Sunoh interfaces. Third-party changes can affect operation. Compatibility, continuous availability, and acceptance by an employer, EHR vendor, or Chrome Web Store are not guaranteed.
No warranty and limitation
NotePace is provided “as is” and “as available.” To the maximum extent permitted by law, the developer disclaims warranties and liability arising from interrupted operation, incompatibility, user error, incomplete review, missed documentation, or reliance on the software as a substitute for professional judgment.
