Run the PHI-free history scanner from the Office Visits screen. It reviews aggregate lock indicators across prior dates and alerts you when the report is ready.

- Open Office Visits. Confirm the schedule and displayed date are visible in the only eCW visit tab.
- Open the NotePace three-dot menu. Choose Scan for Unlocked Notes, then the 30-day or 90-day option. You can also open Note Completion History and use the scan button beside its title.
- Leave the Office Visits tab open. NotePace uses the eCW calendar to check eligible dates, skips weekends and completed dates, and shows progress. Avoid navigating elsewhere until it finishes.
- Wait for the completion alert. NotePace returns to the date where the scan began and tells you the report is ready.
- Open Note Completion History. Review each date’s aggregate locked, unlocked, and unreadable counts.
- Resolve an unfinished date deliberately. Select Open Date, review that schedule, then manually choose the orange LOCK MM/DD NOTES button. Opening the date alone never starts locking.

Clinical workflows run locally on supported pages. NotePace does not transmit patient identifiers, diagnoses, note text, chart content, eCW credentials, browsing history, or technical diagnostics to the developer or external analytics services.

Adaptive DX timing and progress
Moves diagnoses one at a time, confirms each move, and waits for stable controls. Shows confirmed progress such as 1 of 8 moved, followed by completion confirmation, note generation, and finishing.
HPI workflow
Opens the supported Sunoh summary workflow, selects the configured sections, and prepares HPI for clinician review.
PLAN + FINISH with assessment selection
Review the prechecked Sunoh assessments, uncheck unwanted entries, then continue. Accepts selected assessments, processes their eligible Move to Dx controls one at a time, then runs Generate Notes, Sunoh close, Next Appointment, and Done.
Optional voice navigation
Dragon Medical One and similar software can activate “Run HPI,” “Run Plan and Finish,” and “Lock notes” through named controls or configured keyboard shortcuts. NotePace does not access the microphone or process audio.
Date-specific note locking
Recognizes the active Office Visits date and displays an orange LOCK MM/DD NOTES button. Locking starts only after a clinician manually clicks the button or deliberately invokes the configured “Lock notes” voice command.
Lock-status verification

Setup and closure guidanceWorkflow diagnostics
Export up to 250 local records of workflow stages, timings, outcomes, warning counts, and aggregate note counts from the NotePace menu. No patient names or note content are included.
Retry Done and chart reset
If eCW requires additional fields, complete them and use Retry Done. Chart-navigation detection resets the toolbar for the next patient.
Safeguards
- The history scanner does not select patient rows, open the Lock Progress Note menu, acknowledge lock warnings, or start locking.
- Opening a date from history navigates and rescans only; the clinician must separately start a lock run.
- The orange lock button and the “Lock notes” command are disabled while history scanning is active.
- Calendar navigation requires confirmation of the requested date and a stable refreshed appointment grid.
- During a manual or explicitly authorized Secure End-of-Day lock run, NotePace acknowledges only two recognized eCW informational warnings: incomplete encounters that will be skipped, and incomplete Immunization/Therapeutic Injection documentation.

Secure End-of-Day
Schedule a final note-completion check when you finish the day. eCW must remain open, and NotePace must be able to verify today’s appointment list.
- Open the NotePace menu and choose Secure End-of-Day.
- Choose a local time, enable the workflow, review and accept the standing authorization, then save.
- At the scheduled time, NotePace checks for recent activity and the final-appointment grace period. It may postpone the check until those conditions are satisfied.
- NotePace scans today’s schedule, runs the existing lock sequence for eligible unlocked notes, and verifies the final lock indicators.
- If every active note is confirmed locked, readable, and free of recognized warnings, NotePace displays a five-second message and requests closure of eCW tabs. If Chrome shows Leave site?, select Leave to complete closure.
- If notes remain unlocked, a warning occurs, or the result cannot be verified, eCW stays open for review. Use Keep eCW open or, when offered, Close eCW anyway. A Close button dismisses an unavailable/review message without closing eCW.
Test now: Enable and save the workflow first. Testing uses the same appointment-date and timing checks; the message explains when a check prevents it from starting.
Only eCW tabs are targeted for closure. The workflow does not guarantee logout or clear a server session. Review incomplete notes and your organization’s end-of-day requirements.

Dragon commands send the same keyboard shortcuts as manual actions. NotePace does not record or process audio.
Desktop app users: NotePace registers Alt + Shift + H, P and L automatically while it is running. Skip the Chrome setup steps below and create the matching Dragon commands. If a shortcut is already used by another app, NotePace shows a notice and the toolbar buttons remain available.

- In Dragon, create step-by-step commands named Run HPI, Run Plan and Finish, and Lock Notes. Add a Press Hotkey step that sends the matching shortcut.
- Return to the active eCW Chrome tab with NotePace visible. Test the keyboard shortcut first, then the voice command.

Command recognized but nothing runs? For the extension, check Chrome’s shortcut assignments. For Desktop, confirm NotePace is running and no shortcut conflict was reported. Check Dragon’s Press Hotkey step for either option. Consent must be accepted, the panel must be visible, and the action must be enabled. Lock Notes acts on the displayed appointment date.

Choose the installation that fits how you work. Both include HPI, PLAN + FINISH, Sunoh scrolling, confirmed Move to DX progress, note locking, history scans and optional Secure End-of-Day. Version 8.0 includes assessment selection in both the Chrome extension and Windows Desktop app.

Use NotePace inside your existing Chrome workflow. Open the Chrome Web Store listing and click Add to Chrome.
Version 8.0 has been approved. Open the store listing to check its available version. Store installation does not require ZIP extraction or Developer mode.
NotePace Desktop 8.0
A separate compact app with a branded Desktop shortcut. Opens regular Chrome in a dedicated profile and connects automatically. Connection controls hide once connected.

Use one NotePace option in a given Chrome profile. The desktop app uses its own Chrome profile; disable the NotePace extension in that profile if it was previously installed there.

Set up your chosen version

Install the Desktop app
- Download the Desktop app ZIP. Use the Download Desktop app ZIP button above. Save the file to your PC.
- Exit an older NotePace desktop app before updating. Right-click the NotePace icon in the notification area near the Windows clock (check the hidden-icons arrow if needed) and select Exit NotePace. Clicking the toolbar’s X only hides the app.
- Extract the ZIP. In File Explorer, right-click the downloaded ZIP, choose Extract All, choose a permanent folder, and click Extract. Do not run the app from inside the ZIP.
- Open the extracted app folder and double-click NotePace.exe. It may appear as NotePace with type Application if Windows hides file extensions. Keep all files in this folder together.
- Use your new Desktop shortcut. First launch automatically creates or refreshes a NotePace shortcut with the NotePace logo on your Desktop. Keep the extracted folder; the shortcut opens the app from that location.
- Confirm NotePace reports Desktop 8.0 — Verified Release. If an older window appears, exit that older app from its tray menu, then run the new extracted app.
- Sign in to eCW in the Chrome window NotePace opens. Use your normal account and MFA. This is a dedicated Chrome profile, so you may need to sign in even if eCW is already open in another Chrome window.
- Accept the NotePace terms and confirm the toolbar is ready. Chrome status and Open eCW hide after connection and return if disconnected.
- Review the assessment checklist during PLAN + FINISH. All entries start checked. Uncheck unwanted assessments and select Continue · Plan + Finish. Skipped entries and their linked Plan actions are excluded from this run; existing eCW content is not removed.
Shortcut missing? Run CREATE_DESKTOP_SHORTCUT.cmd from the extracted app folder. To show a hidden NotePace window, click its notification-area icon. To exit completely, use its tray menu.

Install the Chrome extension
Install from Chrome Web Store- Open the NotePace store link in Google Chrome on your computer.
- Disable or remove an older unpacked NotePace build. Open
chrome://extensionsto avoid running two NotePace versions together. - Click Add to Chrome, then Add extension. No ZIP extraction or Developer mode is needed.
- Pin NotePace for easy access. Open Chrome’s Extensions menu (puzzle icon) and click the pin beside NotePace.
- Refresh your eCW tab and open NotePace. Accept the terms and check the toolbar on an authorized eCW page. For optional Dragon commands, follow the voice setup guide above.
If installation is blocked on a managed computer, contact your organization’s IT team.
Alternative: manual ZIP installation
- Download the Chrome extension ZIP and extract it. Right-click the downloaded ZIP in File Explorer, select Extract All, choose a permanent folder, and click Extract. Keep the extracted folder after installation.
- Open Chrome’s Extensions page. Enter
chrome://extensionsin Chrome’s address bar and enable Developer mode. - Disable or remove an older unpacked NotePace build. This avoids running two versions together.
- Click Load unpacked, select the extracted NotePace folder, then click Select Folder. You are selecting the whole folder, not a file. Do not open or click manifest.json. Chrome reads that file automatically from the folder you select.
- Confirm NotePace shows version 8.0. Refresh your eCW tab, then open NotePace and verify its panel on an approved demonstration or authorized eCW page.
Which folder? Select the folder created by Extract All—usually named NotePace_v8.0_CHROME_STORE. If there is another NotePace folder inside it, select that inner folder instead. The correct folder holds all the extension files together. Do not select the ZIP or an individual file.
Developer mode not visible? Follow Google’s official instructions below. If the toggle is unavailable on a managed computer, your organization may need to enable it.

Local-first clinical workflow: NotePace does not transmit patient names, medical record numbers, diagnoses, note text, chart content, eCW credentials, browsing history, or technical diagnostics to the developer or an external service.
Purpose and scope
NotePace is a clinician-guided workflow assistant for compatible authenticated eClinicalWorks and Sunoh/Healow pages. It identifies defined on-screen controls and activates them within a supported clinician-started workflow, a requested history scan, or an explicitly enabled and authorized Secure End-of-Day workflow.
Information processed locally
NotePace temporarily reads limited webpage structure, visible control labels, Sunoh assessment labels and their linked Plan controls for the selection checklist, appointment dates and times, lock-status indicators, calendar controls, and a chart indicator used in memory to detect navigation. These elements are not retained as chart content and are not transmitted off the device.
Information stored locally
The Chrome extension uses Chrome local storage; the Windows desktop app uses its local app settings for panel preferences and position, an estimated saved-actions counter, reminder dismissals, scanner progress, up to 250 PHI-free technical workflow diagnostic records, and up to 100 note-completion history records. History contains only the appointment date, aggregate locked/unlocked/unreadable/total counts, scan timing, and completion status. Diagnostics contain technical workflow fields—not patient identifiers, chart text, URLs, or credentials.
Optional cross-device synchronization
Optional sync is off by default. If explicitly enabled, it transmits only the username, device label, authentication data needed for the NotePace account, and up to 30 recent history records containing dates and aggregate counts. It does not transmit patient identifiers, chart content, diagnoses, note text, eCW credentials, browsing history, or technical diagnostics.
Trial access accounts (v6.6 trial builds)
The optional trial builds require an owner-issued invitation and a separate NotePace access account. The access service stores the invited email, salted password hash, activation timestamp, approved access duration, revocation status, hashed session tokens and an approval audit. Hashed network identifiers support sign-in rate limiting. Access starts at first app sign-in and is shared across the trial extension and Desktop app. The clients retain an authentication token and a signed access permit; Desktop protects saved credentials using Windows encryption. Access checks send authentication data only, with no patient information or clinical page content. Offline permits last up to 72 hours and cannot extend a timed trial expiration. The verified 8.0 releases do not require a trial access account. Contact support to request account deletion or continued access.
Collection, sharing, and sale
The developer does not sell, rent, or use NotePace data for advertising, profiling, or unrelated purposes. NotePace contains no advertising, external analytics, payment processing, or remotely hosted executable code.
Permissions and desktop connection
The desktop app connects locally to regular Chrome in a dedicated profile, operates only on supported eCW/Healow pages, and keeps eCW sign-in in Chrome. Saved optional sync credentials use Windows encryption. It does not capture audio or send clinical page content to the sync service.
The Chrome extension requests access only to supported eClinicalWorks and Healow addresses and the NotePace service, plus Chrome permissions needed for clinician-requested workflows, reminders, local settings, and optional sync.
Retention and deletion
Extension information remains in the Chrome profile until replaced, cleared, or the extension is removed. Desktop settings remain in Windows app data until cleared; deleting the extracted program folder alone does not clear those settings. Users can sign out of optional sync to return to local-only mode and may contact support regarding account-data deletion.
Security and changes
No system can guarantee absolute security. NotePace minimizes exposure with local clinical processing, narrow permissions, aggregate-only history, and clinician control. Secure End-of-Day stores the enabled setting, chosen local time, authorization acknowledgement, and PHI-free completion state locally; Chrome alarms support the extension schedule. The desktop app must remain running, including in the notification area, for its schedule to run. This policy may be updated when functions or data practices change.
Chrome Web Store Limited Use
Use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including Limited Use requirements.
Clinical and Product Disclaimer
NotePace is a workflow aid—not a medical device, diagnostic system, clinical decision-support system, or substitute for professional judgment.
- Only authorized healthcare professionals should use NotePace where they are permitted to access the EHR.
- The clinician remains responsible for reviewing the chart, verifying transferred or generated content, confirming diagnoses and follow-up, correcting errors, and completing and signing documentation.
- NotePace does not diagnose, recommend treatment, select a primary diagnosis, determine follow-up, or override clinical requirements.
- Recognized informational warnings may be acknowledged only during a manual or explicitly authorized scheduled lock run; NotePace does not complete missing documentation or guarantee that eCW will lock every selected note.
- Browser, EHR, Sunoh, network, or interface changes may delay, interrupt, duplicate, or prevent an action. Verify completion after every workflow.
- Do not rely on NotePace during an emergency or as the sole mechanism for a time-sensitive clinical action.

Acceptance and permitted use
By installing or using NotePace, the user agrees to use it only as an authorized healthcare professional on supported systems and in compliance with organizational policies, software agreements, privacy and security requirements, professional duties, and applicable law.
Clinical responsibility
NotePace assists with interface actions. The user retains full responsibility for the medical record, clinical decisions, review, corrections, signing, locking, and verification of downstream completion.
Prohibited use
Users must not use NotePace to access records without authorization, bypass security or EHR controls, make automated clinical decisions, or send protected health information through support channels.
Third-party services and availability
NotePace depends on Chrome and compatible eClinicalWorks and Sunoh interfaces. Third-party changes can affect operation. Compatibility, continuous availability, and acceptance by an employer, EHR vendor, or Chrome Web Store are not guaranteed.
No warranty and limitation
NotePace is provided “as is” and “as available.” To the maximum extent permitted by law, the developer disclaims warranties and liability arising from interrupted operation, incompatibility, user error, incomplete review, missed documentation, or reliance on the software as a substitute for professional judgment.
